Saving to Long-term Memory

Upload documents so Harper learns your organization and can reference them in future grant applications and prospecting.

How It Works

When you tell Harper to "remember" documents, they get processed and stored in Harper's informational memory database. Harper automatically searches this database when relevant to your requests - like when writing grants or answering questions about your programs.

What It Does

  • Stores unlimited documents - PDFs, Word docs, Google Drive links, Excel files, PowerPoints

  • Creates searchable database - Harper can find specific details across all uploaded documents

  • Provides context for writing - Uses your past successful language and approaches

  • Enables Q&A - Ask Harper about any uploaded content ("Where did we run that program in 2022?")

  • Improves fit scores - Prospecting becomes 10x more accurate with organizational context

What It Doesn't Do

  • Doesn't automatically apply - Content is recalled only when relevant to your specific request

  • Doesn't replace specificity - You still need to be clear about what you want Harper to focus on

  • Doesn't guarantee perfection - Always fact-check important details in final applications

Privacy Note

While we maintain strong user privacy and security protections, we recommend avoiding the upload of highly sensitive information such as medical records or personal details about program participants. This type of information should not be shared with grant funders and therefore should not be uploaded to our system.

Best Practices

Essential:

  • 5+ previous grant applications - Most relevant to today and cover breadth of programming

Good to have (you'll realize you need these as you go):

  • Success stories and case studies

  • Board lists

  • Organizational charts

  • DEI statements

  • Annual operating budgets

  • Board reports and impact data

Optional but could be good:

  • Newsletters

  • Marketing materials

  • AI meeting transcripts

  • Annual reports

  • Program descriptions

Example Email

Subject: Harper — Remember Documents

Hi Harper,

Please remember these documents for long-term memory:

[Attach: 2023 Annual Report, 5 grant applications,
program descriptions, staff bios]

Use these to inform all future grant writing and prospecting.

Thanks!

You can do this anytime - at the beginning, or months later when you have new documents to add.
